For our client, an international energy company with a strong presence across European markets, we are looking for an experienced and highly organised Executive Assistant to support the Managing Director and Management Team.

The successful candidate will play a key role in ensuring the smooth day-to-day operation of the Managing Director’s office, working closely with senior management and internal and external stakeholders.
Key responsibilities
- Take ownership of the Managing Director’s diary, coordinating meetings, appointments and business priorities across both short- and long-term horizons.
- Serve as a key point of contact for matters requiring the Managing Director’s involvement, resolving routine issues independently and ensuring urgent topics are escalated appropriately.
- Organise and coordinate Management Team meetings, leadership meetings, offsites and Supervisory Board sessions, including preparation of agendas, presentations, briefing documents, meeting logistics and action follow-up.
- Manage business correspondence, approvals, signatures and important deadlines, while also supporting travel arrangements, expense reporting and onboarding activities for new members of the management team.
- Provide day-to-day administrative support to Management Team members, including coordination of invoices, expenses, approvals and other organisational matters.
- Stay one step ahead by anticipating organisational needs, keeping documentation and templates up to date and identifying opportunities to streamline recurring administrative processes.
- Ensure a high standard of confidentiality and professionalism when handling sensitive business and management information.
Your experience and profile
- 3–5 years of experience in an Executive Assistant, Senior Administrative or Team Coordination position, preferably in an international, corporate or matrix environment.
- Previous experience supporting senior executives and coordinating management-level meetings and activities.
- Strong organisational skills, with the ability to manage multiple priorities, deadlines and stakeholders simultaneously.
- Excellent command of Microsoft Office, particularly Outlook, Word, PowerPoint, Excel and Teams.
- Proactive and dependable, with a hands-on approach, strong attention to detail and the ability to work independently.
- Professional, discreet and service-oriented, with excellent interpersonal and communication skills.
- Fluent Polish and English, both written and spoken, with confidence in communicating with senior management and external business partners.
