HSE REPORTING COORDINATOR

The HSE Reporting Coordinator is responsible for consolidating, validating and communicating Health, Safety and Environment (HSE) performance data for the BC-Wind project. The role bridges HSE reporting, data analysis, communication and documentation control, ensuring that HSE information is accurate, consistent and effectively communicated across the project.

The position plays a key role in maintaining transparency and traceability of HSE performance by coordinating reporting processes across work packages, contractors and internal departments. It also supports the management of HSE registers, lessons learned documentation and project information systems.

The role supports internal and external reporting requirements, including regulatory submissions, ESG and sustainability reporting, and senior management presentations.

The HSE Reporting Coordinator reports directly to the Head of HSE for the BC-Wind project. The role works in close coordination with the HSE Manager to ensure that HSE performance data, reporting and communication processes are consistent across the project.

The position also collaborates with the BU Departments, Project Package Managers and contractors to collect, validate and consolidate HSE data, ensuring that project HSEQ reporting, documentation and communication systems operate effectively.

MAIN ACCOUNTABILITIES

  • Consolidate and manage HSE performance data, ensuring traceability, accuracy, and alignment with project standards.
  • Prepare internal and external HSE reports, dashboards and periodic summaries for project leadership and stakeholders.
  • Monitor, analyse and evaluate HSE information and performance indicators through established reporting systems.
  • Produce HSE statistics, performance indicators and trend analyses to support management decision-making.
  • Coordinate reporting interfaces with contractors and internal departments to ensure timely and consistent submission of HSE data.
  • Maintain central registers and logs for incidents, audits, inspections, KPIs and corrective actions.
  • Maintain the HSE Action Register and support tracking of corrective and preventive actions until closure.
  • Maintain the Company/Project HSE Risk Register and ensure traceability of mitigation actions where required.
  • Register and manage HSE incidents, inspections and audits within reporting systems, ensuring proper documentation and traceability.
  • Support the formatting, registration and archiving of incident investigations and lessons learned documentation.
  • Provide input, analysis and visual support for senior management and board-level HSE presentations.
  • Prepare materials and support the organisation of management reviews and other HSE meetings.
  • Support the Head of HSE in compiling ESG, environmental and sustainability reporting data.
  • Assist with the preparation of regulatory filings and support external audits where required.
  • Ensure document control procedures are applied to all HSE reporting records and supporting evidence files.
  • Maintain and administrate the project HSE InfoHub (SharePoint or equivalent platform), ensuring that reporting documents, dashboards and key statistics are accessible and kept up to date.
  • Coordinate internal HSE communication across the project, including safety alerts, lessons learned, safety bulletins and campaign materials.
  • Provide support to the HR Department in maintaining records related to mandatory HSE training, certifications and competence records, including tracking of training validity and completion status.
  • Support HR and HSE teams in maintaining documentation and registers related to HSE training, inductions and PPE allocation, including reporting for project personnel and contractors.

ACADEMIC BACKGROUND

  • University degree or Postgraduate Studies as per polish legal requirements in Occupational Health & Safety, Environmental Engineering, or related technical field.
  • Relevant certificates (e.g. NEBOSH, ISO 45001 Auditor) are highly valued.

LANGUAGES

  • The working language of the project is English.
  • Fluency in both English and Polish, spoken and written, is required.

PROFESSIONAL EXPERIENCE

  • Experience in HSE, quality, or data-driven roles within infrastructure, energy, or industrial projects.
  • Experience with HSE reporting systems and KPI tracking is required.
  • Previous experience supporting communication or reporting functions in a multi-stakeholder environment is an advantage.

KNOWLEDGE

  • Understanding of HSE metrics, audits, incident classifications, and performance indicators.
  • Familiarity with regulatory frameworks and international standards (e.g. ISO 45001, ISO 14001, ISO 9001).
  • Competence in data visualization, dashboard creation, and report formatting.
  • Basic knowledge of MS Power BI and MS SharePoint and desire to develop in these will be valued.
  • Document control and information management principles.
  • Awareness of ESG and sustainability reporting practices.

SKILLS

  • Excellent analytical skills and attention to detail.
  • Clear and structured written communication style.
  • Strong organizational skills and the ability to manage multiple data sources.
  • Proficiency with MS Office (particularly Excel and PowerPoint); Power BI or similar tools is a plus.
  • Proactive and collaborative approach; able to work independently and within a team.

OTHER REQUIREMENTS

  • Occasional travel may be required for coordination and workshops.
  • Ability to manage information sensitively and maintain confidentiality when handling project personnel and incident data and reports.
